Protecting Your Privacy
The Washington State Hunter Jumper Association respects
your right to privacy and is committed to protecting your
personal information, whether gathered from your membership
application, your show entries, or any registration for WSHJA
events.
This document (the "Privacy Policy") outlines how we
protect this information. We reserve the right to modify the
Privacy Policy at any time. In the event that we do so, the
updates will be posted here and the date modified to reflect
the changes. Your enrollment as a member of the Association and your
use of the WSHJA.org Web site indicates your acceptance of the terms
of this Privacy Policy, including any posted updates.
Information We Collect - How and Why We Collect It
To become a member of the Association, we will ask you to
provide some personal information in order to conduct
transactions and allow you to take advantage of the services
provided to our members. We may also obtain information from
your trainers, the USEF, and the horse shows you attend to
administer these services. This information may include, but
is not limited to, such items as your name, address, date of
birth, phone number, e-mail address, registration numbers of
riders and horses, show results, prize money won, tax payer
numbers, and credit card numbers (if you choose that method
of payment) as well as similar items. The collection of
personal information will occur at the time:
- You sign up for a
membership in the Association
- You purchase goods or
services at WSHJA horse shows and/or other WSHJA events such
as the Annual Awards Banquet & Silent Auction
- You register for an
WSHJA event, promotion, contest, sweepstakes, or survey
- You apply for a WSHJA
Scholarship
- You email or correspond
with the Association
How Information is
Stored
We store personal information electronically in one or
more database systems. (The exception is credit card
information, which we use only for payment processing and do
not store in our database systems.) All personal information
is kept secure and is unavailable to the public. Your
personal information is accessible only by selected
Association personnel including the WSHJA Membership Chair,
WSHJA Treasurer, WSHJA Member Communications Chair, and by
a limited number of trusted third parties who may, from time
to time, perform contracted services on behalf of the
Association.
As required by USEF, horse show entries and show records
are stored electronically and in paper form for three years
before being destroyed. Paper copies of other
documents are generally destroyed
within 1 year of submission.
Cookies and Action Tags
We do not use cookies or action tags at our website.
Security
Although your privacy is very important to us, due to the
existing legal regulatory and security environment, the
Association cannot fully ensure that your personal
information will not be disclosed to unauthorized parties.
"Perfect security" does not exist and, under certain
circumstances, third parties may come into the possession
of, or unlawfully access, your information. In the unlikely
event the Association needs to investigate or resolve
possible problems or inquiries, the Association can (and you
authorize us to do so) disclose any information about you to
private entities, law enforcement, or other government
officials as the Association, in its sole discretion,
believes necessary or appropriate.
How Information is Used
When you become a member of the Association, you may choose
to be enrolled in either the National or State points
tracking program for calculation of year-end awards. The
purpose of the Points Program is to publicly recognize the
achievements of our members and their horses. To administer
this program, the Association needs to publicly disclose
your participation, membership status, show results, and
current point standings. This information may appear on our
web site and in other Association communications with the
public.
- We may also publish pictures of you and/or your
horses on our website, in promotional materials for our
horse shows and other events, and for use in articles in Flying Changes
magazine and other third party publications.
- Members automatically receive a copy of the Flying Changes
magazine, which is mailed directly from the publisher using
member information provided by the Association.
- We may share pertinent personal information
(including billing information) with our business partners
or trusted third party vendors to enable us to perform
routine business functions and to fulfill the products and
services that you have requested.
- If you are the winner of prize money at one of WSHJA's
horse shows, we will report the winnings to the Internal
Revenue Service under the tax payer number you have
provided.
- We routinely use email and your street address to
communicate with you regarding the maintenance of
memberships, services that you have enrolled in, and events.
- Your information may also be used or shared with third
parties in order to complete surveys, sweepstakes, contests,
or promotions in which you choose to participate.
- We
may disclose personal information in accordance with a
lawful request or court order, to protect third-party
rights, if the Association believes that the safety of a
third-party would be jeopardized by not disclosing data.
Disclosure of Information to Third Parties
The Association uses the services of (i) third parties
that process e-mail, mail, and transactions for the
Association and its affiliates, and (ii) other entities and
persons authorized by you for the purpose of performing
their contractual obligations to WSHJA. Except as described
in this paragraph and the sections above, the Association
does not permit the sale or transfer of personally
identifiable information to entities outside of the
Association and our third party service providers for any
non-Association use without your approval.
Opting Out of Points and Marketing programs and Third
Party Communication
You may request to withdraw from the Points Program if you
would like us to discontinue making the public disclosures
necessary for your continued participation in the program
- You may also request that the Association not publish
pictures of you and/or your horses on our website, in
promotional materials for WSHJA horse shows and other
events, and for use in articles in Flying Changes and other
third party publications.
- You may request to have your subscription cancelled to
Flying Changes and be removed from any other Association
communications that are part of your membership
- You may request that the Association only contact you for
membership maintenance purposes
- You may request that the Association not contact you at
all.
Please e-mail your opt-out requests to
memberservices@wshja.org. The Association will use
reasonable efforts to act upon your request within
approximately two (2) Weeks following our receipt of your
request. Once your request has been made effective, the
Association will cease to release your information, however,
you should be aware that it could take up to eight (8) weeks
for your opt-out request to be processed by some of our
partners.
